Adjusting Columns and Rows,
Formatting Numbers, Changing Alignments and Fonts, and Selecting Nonadjacent
Ranges
Setting up your worksheet:
- Open
up an Excel worksheet
- In
cells A2 through A6, type in these names, respectively: Josephine Smith, Deo Fischer, Sylvie
Black, Claudette Louise, and Jean-Philippe Jones
- In
cells B1 and C1, type in the phrases ‘Hours per Day’ and ‘Salary per Day’,
respectively
Now, you have to change the width
of the columns:
- First,
highlight all cells with names in them
- Click
on ‘Format’, ‘Column’, and then ‘Width’
- A box
will appear – change the number in the box to 16.57
- Click
‘OK’
- Now,
put your cursor over the top border between columns B and C – click and
drag the border until column B can fit all of the text inside of it – it
doesn’t matter how wide you go, just as long as all data fits comfortably
within the cells
- Do the
same thing for column C
Adding data into the worksheet:
- In the
‘Hours’ column, input the numbers 2, 4, 3, 6, and 5 – one number in each
cell
- In the
‘Salary’ column, input the numbers 10, 20, 15, 30, and 25 – one number in
each cell
Formatting the data:
- Highlight
cells B2 through B6
- Now,
use the pull down menu – click on ‘Format’, ‘Cells’, and then tab that
says ‘Number’
- Underneath
the ‘Category’ heading, click on the ‘Number’ option – make sure that the
amount of decimal places is 2 (the amount can be changed by clicking on
the up or down arrows next to the decimal box)
- Click
‘OK’
- Now,
highlight cells C2 through C6
- This
time, right click with your mouse
- Go
down to ‘Format Cells’ – the same box will appear as if you used the pull
down menu
- Click
on the tab that says ‘Number’
- This
time, underneath the category heading, click on the ‘Currency’ option –
make sure again that there are only 2 decimal places
- Click
on ‘OK’
Aligning the cells:
- Highlight
cells B1 through B6
- Use
the pull down menu – click on ‘Format’, ‘Cells’, and then the tab that
says ‘Alignment’
- Right
below the ‘Horizontal’ category, click on the down arrow
- Click
on the ‘Center’ option
- Click
‘OK’
- Now,
highlight cells C1 through C6
- Click
on the centering button on the toolbar (centering buttons are located to
the right of the B I U icons on the toolbar)
Changing the fonts:
- Highlight
all of the cells containing names (A2 through A6)
- Use
the pull down menu and click on ‘Format’, ‘Cells’, and then the tab that
says ‘Font’
- Underneath
the ‘Font’ category, click on the down arrow, and scroll down until you
reach the font ‘Garamond’ (all fonts are listed in alphabetical order) and
click on it
- Now,
under the ‘Size’ category, click on the down arrow until you get to ‘14’
and click on it
- Click
‘OK’
- You
will once again have to adjust the size of column A – the cells should
still be highlighted, so click on ‘Format’, ‘Column’, and then ‘Width’
- Change
the width of the cells to 21
- Now,
highlight the two category headings (B1 and C1)
- Once
again, use the pull down menu and click on ‘Format’, ‘Cells’ and then the
tab that says ‘Font’
- Underneath
the ‘Font Style’ heading, click on the ‘Bold’ option
- Click
on ‘OK’
Selecting nonadjacent ranges and
changing the color:
- Now,
you want to change the color of both the student’s names and the category
headings all at the same time – the first step in doing this is first
highlighting the student’s names (cells A2 through A6)
- Now,
press and hold the ‘Ctrl’ key on
your keyboard
- Now,
highlight the category headings as normal (cells B1 and C1)
- Use
the pull down menu and click on ‘Format’, ‘Cells’, and then the tab that
says ‘Font’
- Underneath
the ‘Color’ category, click on the down arrow, and then choose the color
red
- Click
‘OK’
Your final worksheet should look
